Terms of Use
Welcome to RecertMe. These Terms govern your use of our healthcare credential management and reminder platform, operated by Upper East Care LLC. This is a plain-English summary — by using RecertMe, you're agreeing to be legally bound by it. If you don't agree, please don't use the service.
Heads up:These Terms include important provisions — including a binding arbitration clause, a class-action waiver, and HIPAA requirements. Please read carefully.
You must be at least 18 years old and have the legal authority to agree to a contract. If you're signing up on behalf of an organization (like a hospital, staffing agency, or credentialing body), you're confirming you have the authority to bind that organization to these Terms.
RecertMe helps healthcare professionals and organizations:
• Store and organize licenses, certifications, CE/CME records, and supporting documents
• Track expiration dates and receive renewal reminders by email, SMS, and push notification
• Share credentials securely with employers, credentialing committees, and authorized recipients
• Monitor compliance status across teams (for organization accounts)
Important:RecertMe is a tool to help you manage credentials — not a substitute for actually verifying credentials, completing required CE, or maintaining your own compliance. You remain responsible for meeting all your licensing and certification obligations.
When you create an account, you agree to:
• Provide accurate, current, and complete information
• Keep your password and login credentials confidential
• Use multi-factor authentication when available
• Take responsibility for everything that happens under your account
• Tell us immediately at security@recertme.com if you suspect unauthorized access
You can only have one personal account. Accounts can't be sold, transferred, or shared.
RecertMe is built to be HIPAA-compliant. When we handle Protected Health Information (PHI) on behalf of a healthcare organization (a "Covered Entity"), we act as a Business Associate and follow HIPAA's Privacy, Security, and Breach Notification Rules.
Before any organization sends PHI to RecertMe, we must have a signed Business Associate Agreement (BAA) in place.
Most credentialing information uploaded by individual users (your own licenses, certifications, CE records, etc.) is not technically PHI under HIPAA — but we still protect it with the same level of safeguards: encryption in transit and at rest, role-based access controls, MFA, audit logging, and regular risk assessments.
Individual users:Don't upload PHI about patients unless you're authorized to do so under a BAA between your employer and RecertMe.
If there's a breach involving PHI, we'll notify the affected organization within 60 days (or sooner if required).
You agree to use RecertMe lawfully and not to:
• Submit fake, forged, or altered credentials
• Misrepresent your identity, qualifications, or affiliations
• Upload anything illegal, harassing, defamatory, or that violates someone else's rights
• Try to reverse engineer, scrape, copy, or build a competing product using our service
• Use the platform to train AI or machine learning models
• Transmit viruses, malware, or anything that could harm the service or other users
• Impersonate RecertMe or pretend to be our agent or employee
We can suspend or terminate accounts that violate these rules.
You're solely responsible for the accuracy of everything you upload. By submitting a credential, you're representing that it's real, current, in good standing, and yours.
Even when we offer primary source verification or document authentication, we don't guarantee that any credential stored in RecertMe is valid or current.Employers and organizations still need to do their own independent verification.
Don't rely solely on RecertMe to track your licensing deadlines.We send reminders by email, SMS, and push notifications as a helpful tool, but we can't guarantee delivery or timing. Email can be filtered, SMS can fail, phones get lost, and renewal rules change. You remain responsible for renewing your own licenses and certifications on time.
By giving us your contact info, you consent to receive service-related messages. Standard message and data rates may apply to SMS. Reply STOP to unsubscribe from SMS.
You control who sees your credentials. When you share a document with an employer, credentialing committee, or recruiter, you're authorizing them to receive it.
Once shared, we have no control over what the recipient does with the document. They may keep a copy even after you revoke access. You can revoke active sharing at any time in your account settings, but revocation only applies going forward.
If you're using RecertMe as part of an organization account (e.g., your hospital signed up the team), the organization may be able to see credential status, expiration dates, and documents you've shared with them. The specifics are governed by the organization's contract with us and your organization's policies — check with them if you have questions.
Organizations agree they have authority to invite their staff, have obtained the necessary consents, and will only transmit PHI under a signed BAA.
Some features require a paid subscription. Fees are shown at checkout in U.S. dollars. Subscriptions auto-renew unless you cancel before the renewal date. You can cancel anytime in your account settings or by emailing support@recertme.com.
Fees are generally non-refundable except where required by law.
You own your User Content (the documents and information you upload). By submitting it to RecertMe, you give us a license to host, store, transmit, and display it so we can actually run the service for you. We don't sell your data.
We may use de-identified, anonymized data (data that doesn't identify you) for research, benchmarking, and product improvement. De-identification of PHI follows HIPAA standards. You can opt out of AI/ML training use as described in our Privacy Policy.
RecertMe — the name, logo, software, designs, and everything we built — belongs to Upper East Care LLC. You can use the platform under the license we grant you in these Terms, but you can't copy our brand or platform for your own use.
If you send us feedback or suggestions, we can use them freely without owing you anything.
How we collect, use, and protect your information is explained in our Privacy Policy (at www.recertme.com/privacy), which is part of these Terms. It covers your rights under HIPAA, CCPA/CPRA, GDPR/UK GDPR, and other laws.
We maintain a comprehensive security program aligned with HIPAA, HITRUST, NIST, and ISO 27001 standards. But security depends on you too — use a strong password, enable MFA, keep your devices updated, and log out on shared computers.
Security researchers: please report vulnerabilities to security@recertme.com. We don't pursue legal action against researchers who report responsibly.
The service is provided "as-is" without warranties of any kind.We don't guarantee that the service will be uninterrupted, error-free, or that reminders will always be delivered on time.
To the maximum extent permitted by law, our total liability for any claim is capped at the greater of (a) the fees you paid us in the past 12 months, or (b) US$100. We're not liable for indirect, consequential, or punitive damages. Nothing in these Terms limits liability that can't be limited under HIPAA, HITECH, or other laws.
If your use of RecertMe causes us to face a claim — for example, because you uploaded forged credentials or submitted PHI without authorization — you agree to defend and indemnify us for the resulting costs.
Please read this section carefully.If you have a dispute with us, you and Upper East Care LLC agree to first try to work it out informally (60 days). If that doesn't work, most disputes will be resolved through binding individual arbitration in Marion County, Oregon — not in court — and you waive the right to participate in a class action.
Exceptions:You can still bring small-claims court actions or seek injunctive relief for intellectual property disputes. You also have the right to opt out of arbitration within 30 days of first agreeing to these Terms by emailing legal@recertme.com.
These Terms are governed by Oregon law. The exclusive venue for any court proceeding is Marion County, Oregon.
We may update these Terms from time to time. When we make material changes, we'll update the "Last Updated" date and notify you via the service or email. Material changes affecting your rights take effect at least 30 days after notice. If you keep using RecertMe after changes take effect, you've accepted the new Terms.
You can close your account anytime through your settings or by emailing support@recertme.com. We can suspend or terminate accounts that violate these Terms, are inactive for long periods, or for legal reasons. Some provisions (HIPAA, IP, liability limits, arbitration) survive termination.
Under California Civil Code §1789.3, California users can contact the Complaint Assistance Unit of the Division of Consumer Services of the California Department of Consumer Affairs at 1625 N. Market Blvd., Suite N-112, Sacramento, CA 95834, or (800) 952-5210. California residents have additional rights under CCPA/CPRA described in our Privacy Policy.
